Who are we looking for
The Founder’s Office Associate is a highly strategic role. Working closely with the founders and top management team, you will support the growth of the organization, provide innovative solutions and establish priority management. This role will lend support in a personal assistant capacity to the directors and is a junior management position.
The problems you will solve
We need someone who can be trusted with coordinating our professional engagements and managing our calendars, emails, meetings, contacts, etc., to relieve us from administrative work, so we can focus more on the responsibilities that come with leading a company.
- Organizational priority management and key stakeholder alignment.
- Identifying and prioritizing the list of things we need to do each day such as important emails to follow up, documents we need to review or sign, deadlines we are missing, reminders, etc.
- Implementing and maintaining procedures/administrative systems as necessary to ensure smooth daily operations of the company.
- Managing our daily calendars as a gatekeeper against any waste of time.
- Analyze, evaluate, and implement performance improvement initiatives in close collaboration with top management.
- Presenting high-impact insights and findings to the management and leaders in the organization.
- Drive the development of models, dashboards, and standard reporting.
- Produce and communicate relevant information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. For example: generating an investor update and creating a job description like this one.
- Work collaboratively with leadership and top management team to support high impact and strategic projects.
- Exploring solutions to business problems that arise in a complex, dynamic environment.
- Having a good pulse on matters relating to office and employees, and providing alerts to management as necessary.
- Schedule meetings, take minutes, and circulate next steps plotting follow up actions.
- Reading and routing correspondence, initiating, and follow-up in email conversations.
- Registering us to events, conferences, meetups, etc.
- Filling data in contracts, NDAs, and other repetitive documents we have to sign.
- Booking professional travel: address our queries regarding travel arrangements, reserve flights, and accommodations.
- Making sure all our expenses are properly recorded and communicated to our accountants, and reconcile expenses marked as uncategorized.
- Taking on ad-hoc random tasks that seem important but difficult to complete due to other priorities or meetings scheduled.

About you
- Have a strong business acumen with 2+ years of experience in a similar capacity.
